Supervisor reviewing workmanship during project closeout

Give every detail a location, owner, due date, reference, and verified completion record.

01

Write the item so another person can close it

A good punch item identifies the exact location, expected result, current condition, responsible person, priority, and due date. Attach the reference image to the item instead of sending it separately.

02

Separate done from verified

The assignee can mark work ready for inspection. A different person should verify the outcome against the original requirement and evidence before the item is closed.

  • Require completion evidence for concealed or disputed conditions.
  • Preserve before and after images.
  • Record who verified the item and when.
  • Reopen with a reason rather than replacing the old record.
03

Publish a calm client view

Clients do not need every internal assignment or comment. Share the agreed item, current status, relevant evidence, and verification outcome while keeping internal coordination private.

Put the idea into one operating space.
